1. Introduction
By booking a flight or service with Basecamp Helicopter Pvt. Ltd. (“the Company,” “we,” “us,” or “our”), you (“the Client,” “Passenger,” or “User”) agree to be bound by the following terms and conditions.
2. Booking and Payment
Booking Process: We do not offer automated online bookings. All flight reservations must be made directly via Email, Phone, or WhatsApp with our operations team.
Confirmation: A booking is considered confirmed only when a formal confirmation is issued by us via your chosen communication channel.
Payment Requirement: 100% of the total flight cost must be paid and cleared prior to flight departure. The Company reserves the right to deny boarding if full payment has not been received.
Payment Methods: We accept bank transfers and cash payments. Specific bank details will be provided during the booking conversation.
3. Flight Operations and Weather
Safety First: All flights are subject to weather conditions, visibility, and air traffic control (ATC) clearance.
Pilot Authority: The Pilot-in-Command (PIC) has absolute authority regarding the flight path, landing zones, and whether a flight can safely proceed.
Delays: The Company is not liable for costs (accommodation, meals, or missed international flights) incurred due to delays or cancellations caused by weather or technical issues.
4. Cancellation and Refund Policy
In the event of cancellation by the Client, the following charges apply:
7+ Days before departure: 20% of the total flight cost.
2–6 Days before departure: 50% of the total flight cost.
Less than 48 hours / No-Show: 100% (No refund).
Weather Cancellation: If a flight is canceled by the Company due to weather or safety issues, a full refund (minus any applicable bank transfer fees) will be processed.
5. Weight and Payload Restrictions
Accurate Data: Passengers must provide accurate body weights and luggage weights at the time of booking.
High-Altitude Limits: For flights above 4,000 meters, payload limits are strictly enforced. The Company reserves the right to offload baggage or require an additional shuttle flight (at the Client’s expense) if weight limits are exceeded.
6. Search and Rescue (SAR) & Medical Evacuation
Insurance Requirement: It is mandatory for all trekkers and climbers to have travel insurance that specifically covers helicopter evacuation up to 6,000 meters.
Financial Guarantee: In emergency situations where insurance clearance is delayed, the Client or their agency must provide a financial guarantee before the helicopter is dispatched.
7. Liability and Insurance
Operator Liability: The Company maintains passenger liability insurance as required by the Civil Aviation Authority of Nepal (CAAN).
Exclusions: We are not liable for personal injury, illness, or loss of baggage unless caused by proven gross negligence of the Company. We are not responsible for the inherent risks associated with high-altitude mountain travel.
8. Health and Medical Conditions
Declaration: Passengers must declare any pre-existing medical conditions (heart issues, pregnancy, respiratory problems) prior to the flight.
High Altitude: The Client acknowledges that mountain flights involve rapid altitude changes. Consult a doctor if you have concerns regarding Acute Mountain Sickness (AMS).
9. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of Nepal. Any disputes shall be subject to the exclusive jurisdiction of the courts in Kathmandu, Nepal.
